PML Email Daily Schedule
An automated process runs in every 30 minutes from 5 am to 11:30 pm, 7 days a week to send PML emails for all i:c call forms entered for the Target Break Fix Continuity Program store visit call form.
The process is run:

PML Email Rules

Emails are sent out within 30 minutes after visits completed. A call form for a visit must be in completed status before an email is sent to the store.

Both the PML and PMBP for a store are emailed for each visit.

Display Fixes

Information in this section is from the Target Continuity Call form in i:c. This call form is filled out for each store visit.

The i:c item is listed with what was fixed.

- This section is a summary by department of the display presence and functionality shown in a grid.
- There is also a detail report attachment in .csv format that shows the same information in detail by product.
- The .csv file is in the following format -

PML Email Address List - Update Process
There are standard and adhoc email addresses sent the PML email for a particular Target store. The standard email addresses are added every time. The Ad Hoc email addresses are sent based on an uploaded file in the documents section of i:c on the Merchandising Team.
Standard Email Addresses
There are two standard email addresses send PML emails for a specific Target store
- PML Email - a standard email address for each store consisting of T + store number + @target.com
- Electronics Department Email - a standard email address for each store consisting of T + store number + electronics + @target.com
Ad Hoc Email Addresses
Email addresses which are not standard for a particular Target location can be included using the Ad Hoc process.
Schedule
The PML Email list is updated 7 days a week, twice a day at:
- 12:30 PM (PST) - for PML emails sent in the afternoon
- 7:00 PM (PST) - for PML emails sent in the morning
Process
Email addresses to include in the daily PML email process, need to be uploaded in a standard format to a document folder in i:c. Once uploaded the update process runs on the Schedule to include only the email addresses on the list. The list uploaded therefore need to be comprehensive because the old Ad Hoc list is deleted and the new list is now the standard. PMBP email addresses should be included in the Ad Hoc list because their email addresses are not standard.
- Login to i:c and click on the Merchandising Team
- Next navigate to the Documents section
- In the documents section click on the folder - Target PML Email List
- Download the PMT.txt and add the store, district and email information.
- Each email address should be on its own row.
- The 3 column names are delimited, the data needs to follow the same formatting as the headers.
- The same store number can be entered more than one time in a file to include multiple emails addresses for a store.
- Delete the old file in the Target PM: Email List folder.
- The new file needs to be saved as a .txt file format.
- Reopen the saved txt file to double-check. Make sure that all columns are populated separately.
- Next upload the new email list to the Target PML Email List documents folder.
Note
- The person who uploaded the file is emailed a notification if the uploaded file is invalid (file type, column errors or bad data)
- The file name should remain - PMT.txt
- The workbook name should remain PMT
- The file will not process unless it has as a minimum store and Email columns
- No spell checking will be done, the emails will be send as is in the file
PML Email Store Status Attachment Report
This CSV attachment report shows display presence and functionality of items in the store after a visit completed based on selected item question answers

The attachment report is just for the specific store in the PML email only.

The Library Question IDs used for the report are 493, 496, 506, 501, 505, 541, 512, 500, 510, 500, 513, 514, 499, 515, 516, 511 , 504, 530, 529, 507

The report does not include items in the categories: Target Ad Hoc and Target Continuity Non-Interactive Audit

There are specific items that the Target requested not to populate in the report. They are maintained in a table named dbo.tblPMTEmailItemExclusion
Target Internal Warehouse (IW) Out of Stock and ETA - List Update Process
Target fulfills many of the parts using their internal warehouse. In order for the PML email to include the ETA of when those parts would be available the data needs to available for the creation of the PML email process.
Schedule
The Target IW data is updated 7 days a week, twice a day at:
- 12:30 PM (PST) - for PML emails sent in the afternoon
- 7:00 PM (PST) - for PML emails sent in the morning
Process
Targets internal warehouse out of stock ETA information is recieved via email and uploaded to i:c to make it available for the PML email. Once uploaded the update process runs on the Schedule to include only the parts that are not functional or not displayed
- Login to i:c and click on the Merchandising Team
- Next navigate to the Documents section
- In the documents section click on the folder - Target PMT Email List
- Download the
IWOH.CSV and add the store, district and email information.
- ItemID
- ETA (date 12/12/2018)
- There are two columns on the file
- Delete the old file in the Target PMT Email List folder.
- The new file needs to be saved as a .csv file format not Excel.
- Reopen the saved csv file to double-check. Make sure that all columns are populated separately.
- Next upload the new list to the Target PMT Email List documents folder.
Use of Data
- On the Display Presence and Functionality (Stocks.csv) attachment if there are any items that are not on display or not functional then lookups needs to occur
- The lookup process checks the Target IW data to determine if the part is out of stock in the Target IW data.
- The lookup then puts the ETA information both in the body of the email and the Stocks csv.
PML Email Parts Approval - Optional
There are parts which the PMLs want to approve before they are ordered. If a partner is marked as needs parts approval by IT then all parts by that partner will need client approval before they move through the Account Team Parts Management Queue.
On the PML email in the Parts Ordered Awaiting Approval section a link is available to take the PML to the Parts Approval screen in i:c.

The Parts Approval screen has a list of all of the parts that need to be approved or rejected for a particular Target store.

The PML need to do the following:
- Enter email address

Bulk Process - Click the check box next to the parts to approve. Click the Approve All Checked button.

Single Process - Click the Yes or No link for each of the part on the list
- Yes - part is approved and removed from the list
- No - part is not approved and user is required to enter text why it was rejected
